Terms & conditions

These Terms and Conditions form an integral part of the agreement that is concluded as a result from the purchase of an admission pass (“Ticket”) for Leuven Slush'D (“Event”), and thus apply to each person who purchases Tickets (“Buyer”) for the Event.

The agreement is concluded between the Buyer and Academics for Technology, a non-profit registered under company number BE 0565.941.154 (jointly referred to as the “Parties”). In principle, the Buyer is assumed to be the person who will attend the Event (“Attendee”). When the Buyer purchases a Ticket for a third party, and is thus not the Attendee of that Ticket, this third party shall be informed by the Buyer of these Terms and Conditions, and thus will be considered to have accepted these Terms and Conditions. The Buyer guarantees this and therefore fully safeguards Academics for Technology.

The totality of Academics for Technology and its employees, volunteers, representatives, independent workers, subcontractors, and consultants are hereafter referred to as the “Organizer”.

1. categories of tickets

The Organizer offers five (5) main ticket categories: startup, investor, attendee, student, and media. The Organizer, in its sole and absolute discretion, reserves the right to determine the eligibility and allocation of any Ticket or Ticket category to any party or individual. The Organizer's decision in this regard shall be final and binding and the Organizer is under no obligation to provide any justification or explanation for its decisions.

The startup Ticket is for tech startups with a tech product or software-based service. Marketing, HR, advertising, agencies and design/IT services are excluded from the startup category. However, these excluded entities are welcome to attend the event as regular attendees by purchasing a regular attendee Ticket.

The investor Ticket is for individuals working for entities making direct investments in startups or venture capital funds – VCs, CVCs, LPs, Family Offices, and M&A Investors. This Ticket is also suitable for individuals investing directly from their personal wealth or as part of a syndicate.

The attendee Ticket is for people who are not startup founders or operators, investors, students, or media.

The student Ticket is for individuals that are enrolled in an active study program from a recognized university or college during the academic year 2023 - 2024. An official student card or document will have to be shown at the entrance.

The media Ticket is for journalists and press editorial staff. PR, communications, and non-editorial staff members of media organizations need to purchase an attendee Ticket.

2. Validity of a Ticket

The Buyer is personally responsible for ensuring that the purchased Tickets are not passed on to, or copied by, third parties other than those for which the Tickets was purchased. Only the first Ticket presented will be valid and thus provide access to the Event.
The startup Ticket is for young, mostly tech-driven businesses with a scalable business strategy who want to develop quickly. Each member of the startup requires a ticket in order to attend.

It is not permitted to resell or exchange the Tickets, except as expressly permitted under Article 2.4 of these Terms and Conditions. The Organizer reserves the right to cancel the Tickets in case it is established that these Tickets are offered for sale or were fraudulently purchased despite this being prohibited. The costs resulting from the cancellation shall be borne by the seller and the purchaser, respectively.

If the name on the Ticket differs from the name on the identification document of the Attendee, the Organizer will always have the right to deny access without the right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation, except in situations as permitted under Article 2.4 of these Terms and Conditions.

The Buyer hereby agrees and acknowledges that the Ticket purchased for the Event is non-refundable under any circumstances. Notwithstanding the foregoing, tickets may be transferred to another individual, provided that written notice is sent to info@leuvenslushd.be no later than forty-eight (48) hours prior to the start of the Event. Such notice should include the original this Attendee's name, and the transferee's full name and contact information. Any transfer requests received less than forty-eight (48) hours before the Event may not be honoured.

Forgery of a Ticket will be subject to legal prosecution. With regard to this provision, the Organizer reserves the right to verify the identity of the Attendee through his/her identification document, as stated in Article 4.

In case of loss, theft or damage of the Ticket, there will be no right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

3. Revocation of a Ticket by the Organizer

The Organizer reserves the right to revoke a Ticket at any time and for any reason, including but not limited to cases where the Buyer has purchased a Ticket in the wrong category. The Buyer is advised to carefully review his/her Ticket selection prior to purchase, as the Tickets revoked under this provision may not be eligible for a refund or exchange.

In the event of a revocation due to the Buyer purchasing a Ticket in the wrong category, the Organizer may, at its sole discretion, offer the Buyer the opportunity to purchase a Ticket in the correct category, subject to availability and any additional fees or charges that may apply.

The Organizer will not be responsible for any additional costs, expenses, or damages incurred by the Attendee as a result of revocation under this provision.

4. Verification of identity

The Organizer retains the right to verify the identity of the Attendee when entering the Event premisses. You must therefore be in possession of a valid identification document. In case of non-compliance, you may be denied access to the Event without the right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

A valid identification document is only understood to mean: a valid identity card, a valid passport, or a valid driving licence. Copies will not be accepted.

5. Access to the Event premises

The Organizer can deny the Attendee access to the Event if:

the Attendee is under the influence of alcohol or drugs;

the Attendee shows clear behaviour with the intent of provoking by inciting violence, hatred, aggression etc.;

the Organizer believes there is enough reason to proceed to this measure.

In all of the above cases, there will be no right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

6. Rules of conduct

The Attendee shall adhere to the rules set forth by the Organizer. The Attendee is expected to act as a reasonable and normal person at the Event. At the Event premisses, the Attendee is, among other things, prohibited from:

- entering areas to which they don't have access on the basis of the ticket they have purchased;

- blocking entrances, exits and emergency exits; distributing flyers or any other promotional items, without the explicit consent from the Organizer;

- putting up posters during the festival or in the vicinity;

- selling food, beverages, or any other product without the explicit permission of the Organizer;

- any illegal or disruptive activities; any action which can cause any danger or hindrance to the Organizer or other Attendees.

Failing to comply with the above prohibitions, or with the Organizer's code of conduct, may result in removal from the Event premises and further access to the Event may be denied to you without the right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

The Attendee must always comply with the instructions provided by the Organizer. Each Attendee agrees to comply with the instructions given by the Organizer for the purposes of ensuring public peace and safety during the Event. Non-compliance with these instructions may result in removal from the Event premises and further access to the Event may be denied to the Attendee without the right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

7. Liability waiver

Within the limits of the law, the Organizer cannot be held responsible for any damage (including, but not limited to, physical damage), loss or theft, nor for any accident whatsoever.

8. Force majeure, (unforeseen) circumstances and other

In case of force majeure, threat of terrorism, a mandatory order of police or security services or any other (unforeseen) circumstances, the Organizer reserves the right:

In all of the above cases, there will be no right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

Even if the Organizer is forced to change the contents and/or process of the Event, the Attendee cannot claim a right to replacement of the Ticket, refund of the purchase price of the Ticket or any other form of compensation.

9. Privacy and personal data

Within the framework of its activities, the Organizer processes the personal data of the Attendees. By entering into a contract with the Organizer (through the purchase of the Ticket) and visiting the Event, the Attendee agrees to this. Personal data will be processed by the Organizer in accordance with its Privacy Policy, which will be communicated when ordering the ticket. This Privacy Policy is also available at all times on the website and can also be requested from the Organizer by sending an e-mail to info@leuvenslushd.be.

The Attendees at the Event may be photographed and/or filmed. The Attendees waive their portrait rights as soon as they enter the Event premisses. This means that images with the portrait of The Attendees can be used for promotional, commercial and/or for security purposes. The same applies to audio recordings.

Images made by the Attendees on the Event premisses, on the other hand, cannot be used for commercial or public purposes without the prior written consent of the Organizer.

10. Applicable law and dispute resolution

The agreement, including these Terms and Conditions, shall be governed by and construed in accordance with Belgian law.

Should any dispute arise in the context of the agreement, the Parties will endeavour to resolve it in good faith. If the dispute is not resolved within thirty (30) days through such negotiations, each Party shall have the right to submit the unresolved issue to the courts of Leuven, which shall have exclusive jurisdiction to settle any such dispute.
